Roadmap Presentation

Set the tone from the very beginning. You are Cogent. We are the subject matter expert. Know the client. Review the notes from your previous meetings. 

Before the meeting

Strategic marketing roadmaps define what you want to accomplish and what you will do to get there and when. Make it simple. We want it easily understood. State why the proposed action will make a difference and what it solves. List each activity of the road map based on importance in descending order. For each discreet activity of the roadmap:

  • Know what you want to change.
  • Define the roadblocks.
  • List the actions
  • Define the impact to the strategic objects.

Enter tasks/deliverables into Click Up!

  • Assign hours towards tasks and deliverables and meetings
  • Determine what external vendors we need for project completion
  • Establish starting budget for vendor tasks
  • Calculate cost
    • ((Meeting hours + task hours * 150)+ vendor costs)+15%
    • Calculate managed service deliverables, hours, and timeframe
  • Update Click Up project with
    • project cost
    • payment plan
    • managed service cost
    • advertising costs
    • Present click up deliverables and hours to Marketing Manager for approval

    Marketing Manager will document approval in Click Up with a comment in the Marketing A/P

    • Marketing Manager will assign an Account Manager to the project

    One day before the presentation, email the Roadmap to client via Click Up.

    Show ROI or level of impact for each item.

    Update Roadmap presentation with approved hours and costs!

    Caleb and Manuel must review final costs.

    Tip: Spend as much time as possible looking directly into the camera.

    The Conversation

    The conversation is about finding connections. Where does part of you connect with them. Example: Client: “I’m a little tired this morning. We just celebrated my birthday”. You: Congratulations! I just celebrated…”

    Present the Marketing Roadmap

    • What is the importance of each campaign?
    • What objective (unarguable) facts have we discovered?
    • What is the target goal for each campaign?
    • What are the actions to be taken to achieve campaign success?
    • Introduce the assigned Account Manager as the resource available moving forward
    • If necessary, schedule follow up meeting to review the Roadmap deliverables

    Tip: 50% talking and 50% listening. You can’t discover if you are doing all the talking. Get them to engage. Do not use Acronyms. Do not use marketing terms unless you define them. Do not repeat a phrase or word over and over.

    The Commitment

    “We are committed to achieving your business goals. We cannot do it without you.”

    Pull up link to the link to the meeting schedule. It is an Adobe signable form. Send it to them before you start the meeting. Let them know the focus of each meeting, time requirement and expection.  Have them sign it. It is not a contract. It is an acknowledgement of the journey we are embarking on. 

    • Explain the steps of the discovery process.
    • What does Cogent believe about business
    • Address any questions from the pre-discovery notes
    • Assign/Introduce strategic objectives assignment and set delivery date

    Follow Up

    Send a follow up email through click up. This documents you did this. The email should recap and do the following:

    • What was discussed in the opening?
    • What is the next step?
    • Confirm with the client that we have the following information.
      1. Google Analytics
      2. Website admin
      3. Social media logins
    • What current collateral is available?
      1. Brochures
      2. Email campaigns
      3. Billboards
    • Link to the Strategic Objectives online form
